If a tenant wishes to pay their rent on a different date during their tenancy, you will need to follow the steps below in order to change the date and charge pro rata:

The rent charge has already gone through for this tenancy, if we change the next rent due date, we will also have to remove this charge and create a pro rata rent charge to make up for the difference.

First you will need to edit the next rent due date. Go to the tenancy > click on actions and edit tenancy > then change the next rent due date to the correct date of the next rent charge.

Change the date of the next rent and then click save at the bottom.

Once you have edited the date you will need to calculate the pro rate. You can do this via the notice to terminate screen. Go back to the tenancy > click on actions and the "notice to terminate tenancy".

This screen can be used to calculate the pro rate, simply change the "contract end date" to the date when the rent is usually charged and change the "Tenant vacate date" to the new rent charge date. Press the checkbox below and the pro rate charge will appear. Copy this figure down and head over to the tenant's account.

Charge rent manually > enter the date for the pro rata charge (the previous rent due date), enter the pro rata that was generated via the notice to terminate screen and include a descriptive memo.

If you want the memo on the landlord statement to show the correct rent period for this pro rate charge, you will need to the payment from the rent due total page.

Go to accounts > then open "rent due total"

Enter the tenant's name on the search bar and you will be able to see all their current rent charges. Check the checkbox for the pro rata rent charge and click "collect rent".

Edit the date period on the memo here then click collect rent.

The rent period that you edited on the rent due total screen will reflect on the landlord statement.

Note: If by any chance the rent charge that usually get generated, you will have to delete that charge otherwise it will cause the tenant account to be out of balance.

You can delete the old rent charge using the rent due total screen. Search for the tenant like before and select the rent charge then click "delete selected".
