Create your groups and set restrictions.

Creating groups will allow you to set restrictions and access according to specific job roles within your team. This includes:

  • access to specific modules (i.e Sales, Lettings, Accounts etc)

  • grant permission to specific actions such as exporting and deletion of any data records

  • customise the dashboard panels

To create your groups follow the following steps:

1. Go into the Control panel and then Users and groups:

2. Click to "Add new group" or edit one of our predefined groups:

3. Check which items you wish to grant permission for. Any items unchecked, the user belonging to this group will not be able to carry out the action:

Add your additional users

1. Going back into the Users and groups, add your additional users by selecting "Add new user":

2. Add their details:

  • assign the user to a group

  • create a username (4-12 alpha-numeric characters, no special characters or spaces allowed)

  • set a password (minimum 6 characters)

  • Name, job tile, email and number

3. We have a standard email signature but please feel free to add in your own email signature design.

If you have the HTML design, you can paste in the code within the source code (through the Tools tab).

4. Set individual user permissions and restrictions such having access to data that is not associated to their specified branch. Have the ability to view/edit and add to their colleagues diary.

You can also restricts users from having access to Gnomen outside of a specific IP address. For example, you may only wish to give them access to Gnomen within your office facility, you can set your office IP address here:

By default we have restricted users the ability to backup any data. To abide by the GDPR law, we would recommend to only give access to users if and when they need to backup any data.

5. Set staff level targets each month whether this is monetary or activity related, as well as any custom targets (i.e mortgage referrals).

You can enter this individually for each user or have preset targets to select from:

6. Once you have set all your users, provide them with their credentials and ensure that they have bookmarked the URL that was originally sent to you.
